Band Session Terms & conditions
Effective 1st September 2024
Our teachers reserve time on their schedules, plan for your session, and invest in the long-term development of each student. To provide regular, quality session, the following policies need to be observed.
Band Session Memberships
1. Your membership includes:
a. A weekly coached band rehearsal year-round, excluding any advertised dates.
b. Coaching is delivered by an expert teacher in performance.
c. Session reminders.
d. Performance and music resources needed for rehearsals and performances.
e. Opportunities to take part in concerts, gigs, masterclasses and concerts.
2. With the exceptions of drum, keyboard and piano lessons, students are required to bring their own instrument to sessions.
3. Instruments and other accessories are available separately.
4. We recognise the role that commitment to consistent lessons plays in aiding pupil progress and commit to the same values.
Membership Fees
5. Membership subscription is payable monthly and is due on the 1st of each month (unless otherwise agreed).
6. The first month’s fee is payable at the time of booking and is prorated based on the number of sessions due between the first session date and the end of the first month.
7. Membership subscriptions are paid for via recurring card payment set up at the time of booking. We do not accept cash payments.
8. Membership fees may be revised from time to time. Customers will be provided with a minimum of 30-days’ notice prior to the change taking effect.
9. We reserve right to cancel sessions with immediate effect if membership fees remain unpaid for a month. In such instances, any make-up lessons will be forfeited.
Attending your Band Session
10. Please arrive ahead of your session time so that the rehearsal can start on time and you receive the full amount of time.
11. Students who arrive late will only be offered the remaining time available of the session slot. We cannot guarantee to deliver the full lesson length.
Number of lessons
12. Due to the nature of the calendar year, the number of sessions offered each month may vary from one month to another depending on the length of the month.
13. By coaching every possible week of the year (excluding published dates), missed session will not be replaced, refunded or credited financially.
14. If you are going to be absent for a prolonged period of time, you are able to freeze your membership subscription. See ‘If you need to freeze your membership subscription’ below.
If you want to stop your membership subscription
15. There is a 14-day cooling off period from the date of booking during which time you can cancel your membership with immediate effect and without providing any notice period. Any reasonable costs incurred, and all lessons provided during the cooling off period will still be payable at a prorated monthly membership rate.
16. Outside of the cooling off period, you can cancel your membership subscription at any time by providing a month’s notice to finish at the end of the following month, e.g., notice provided on 17th May means the earliest date that your membership subscription will stop is 30th June.
17. To cancel your membership, you must complete the ‘Tell us your leaving’ form which can be accessed via the footer on our website or by clicking here. We are not able to accept notifications to stop memberships via other means of communication. There are no exceptions.
18. Unless due to exceptional circumstances, no refunds will be issued.
19. Memberships are not transferrable.
20. You may withdraw your notice to stop your membership at any time before the it takes effect however the same group or session cannot be guaranteed.
21. We reserve the right to terminate membership, in which case prorated tuition will be refunded.
If you need to freeze your membership subscription
22. You can freeze your membership for up to one entire calendar month in a rolling 12-month period.
23. Freezing membership is only available in entire months and only starting on the 1st of the month.
If you’re not happy with the service
24. We hope that you enjoy the whole of your time learning. In the unlikely event that something doesn’t meet your expectations, please contact our Welcome Team in the first instance.
25. If the issue remains unresolved to your satisfaction, you can request that our Welcome Team escalate to the senior management team who will investigate you concerns.
26. Please refer to our Safeguarding and Child Protection policy for safeguarding related issues. Our Safeguarding and Child Protection policy supersedes and takes priority in all instances.
27. All complaints and feedback will be treated seriously, fairly and, if appropriate, in confidence.
28. If appropriate, the person making the complaint will be kept informed of progress made regarding the complaint through to resolution.
Student Supervision
29. Students under the age of 18 Students are supervised at all times whilst in the care of the teacher during the booked session time. However, Good Vibes Music Academy are not responsible for supervising or providing care before or after session care for students.
Safety
30. You assume all risk of injury or harm to the child(ren) or adult(s) associated with participation in musical activities at Good Vibes Music Academy and agree to release, indemnify, defend and forever discharge Good Vibes Music Academy and its officers and staff from all liability, claims, demands, damages, costs, and expenses in the unlikely event of injury sustained by your child(ren) or adult student during the course or as a result of their participation in Good Vibes Music Academy musical activities.
Data Protection
31. All customer and student information is kept in accordance with the Data Protection Act 1998.
32. By becoming a member of Good Vibes Music Academy, you are agreeing to Good Vibes Music Academy storing and processing your data in line with the Data Protection act 1998.
33. Good Vibes Music Academy does not store any bank or card details.
Disclaimer
34. We reserve the right to refuse service to anyone.
These terms and conditions
35. These terms and conditions are effective upon enrolment as a member of Good Vibes Music Academy.
36. These terms and conditions may be amended from time to time. We will let you know as and when any changes to these terms and conditions are made.
